How to remove bad reviews from Google My Business - step-by-step owner guide

Google My Business is now called Google Business Profile, but the problem hasn’t changed: one bad review sits right under your name on Search and Maps, and it is the first thing a new customer reads.

The good news is that a large share of the bad reviews owners worry about are removable. Fake reviews, reviews from competitors or ex-staff, off-topic rants and abusive posts all break Google’s rules, and Google takes them down when they are reported the right way. This guide walks through the full process, from choosing the right report reason to appealing a rejection.

👉 Quick answer: You can’t delete a Google review from your own Business Profile. To remove a bad review, report it as a policy violation from your profile (Reviews › ⋮ › Report review) or through Google’s Reviews Management Tool, choosing the reason that matches the rule it breaks. Track it in the tool, use your one-time appeal if Google says “no policy violation”, and use the legal or extortion forms for defamatory or blackmail reviews. Genuine negative reviews stay up, so reply to them professionally.

📌 Key takeaways

  • Only Google can remove a review, and only when it breaks Google’s content policies.
  • Picking the correct report reason is the biggest factor in whether a report succeeds.
  • The Reviews Management Tool shows each report’s status and gives you one appeal per review, up to 10 reviews at a time.
  • Extortion and defamation have their own Google forms, separate from normal reporting.
  • Never offer refunds or gifts in exchange for removing a review. That breaks Google’s rules too.

Can You Remove Bad Reviews from Google My Business?

Not directly. There is no delete button for reviews on your Business Profile, and Google does not remove a review just because it is negative, harsh or unfair. A review comes down in one of three ways:

  • Google removes it after you report it and its moderators agree it breaks the Maps user-contributed content policy.
  • The reviewer deletes or edits it, usually after you resolve the problem behind it.
  • A legal request succeeds, for example when a review is defamatory or exposes personal information.

So the real question is not “how do I delete this review?” but “which rule does this review break, and how do I prove it?” Answer that well and most fake or abusive reviews can be removed.

Which Bad Reviews Will Google Remove?

Google’s policy lists more than 20 kinds of prohibited content. These are the ones that catch most bad reviews on business listings:

Type of bad reviewGoogle policy it breaksRemovable?

Tip: before you report anything, check the reviewer’s profile. A brand-new account, a dozen one-star reviews for businesses in different cities, or a name you can match to a competitor or ex-employee is exactly the evidence that gets a review removed.

How to Remove a Bad Review from Google My Business, Step by Step

Follow these steps in order. Skipping the first two is why most owner reports fail.

Step 1: Match the review to a specific rule

Read the review slowly and decide which single policy it breaks, using the table above. “Fake”, “unfair” or “lies” are not reasons Google accepts on their own. “Conflict of interest: the reviewer is our former manager, dismissed in March” is.

Step 2: Collect your evidence

Screenshot the review, the reviewer’s profile and their other reviews. Then check your records: is there a booking, invoice or visit under that name? If not, note it. Save any messages, emails or social posts that connect the reviewer to a competitor, an ex-employee or a demand for money. You will need this if you appeal.

Step 3: Report the review from your Business Profile

  1. Sign in to the Google account that manages your Business Profile.
  2. Search for your business name on Google or open it in Google Maps.
  3. Select Read reviews (or the Reviews tab in Maps).
  4. Next to the review, select the three-dot menu (⋮), then Report review.
  5. Choose the reason that matches the rule you identified and select Send report.

Step 4: Or report it through the Reviews Management Tool

Google’s Reviews Management Tool does the same job but keeps a record of every report you make, which is what you want when several reviews are involved.

  1. Open the tool and confirm the account linked to your profile, or select Switch account.
  2. Select your business, then Continue.
  3. Choose Report a new review for removal, then Continue.
  4. Select Report next to the review, pick a reason in the new tab and select Submit.

Step 5: Track the report and appeal if needed

Come back to the Reviews Management Tool after a few days to see the decision. If Google finds no violation, you get one chance to appeal, which is covered below.

Tip: report each review once, with the most accurate reason. Mass-flagging the same review from friends’ and staff accounts does not speed anything up, and it can make your own reviews look suspicious.

What Each Review Status Means

Inside the Reviews Management Tool, every review you report shows one of these statuses:

StatusWhat it meansWhat to do next
Decision pendingGoogle has your report but hasn’t reviewed it yet.Wait. Most decisions take several days.
Report reviewed – no policy violationGoogle checked it and decided it can stay.Submit your one-time appeal with evidence.
Escalated – check your email for updatesYour appeal has gone to a second review.Watch your inbox for the final decision.
Removed (review no longer on your profile)Google agreed it broke the rules.Nothing. Keep your screenshots in case it returns.

How to Appeal When Google Won’t Remove a Review

A “no policy violation” decision is not the end. Google allows a one-time appeal for each reported review, and you can include up to 10 eligible reviews in a single appeal.

  1. In the Reviews Management Tool, choose Check the status of a review I reported previously and appeal options.
  2. Select Appeal eligible reviews, tick the reviews and select Continue.
  3. Select Submit an appeal and complete the form.
  4. Name the exact policy, explain in two or three factual sentences why the review breaks it and point to your evidence.

Because you only get one appeal per review, make it count. A short, specific appeal (“The reviewer has no booking in our system, posted 14 one-star reviews for salons in three countries in one week, and the account was created the same day”) beats a long, emotional one. If the appeal fails too, you can ask in the Google Business Profile Community or contact Business Profile support, and for unlawful content you can move to a legal request. Our guide on what to do when your Google flag didn’t work covers the next steps in detail.

How Long Does It Take to Remove a Bad Google Review?

Google says reviewing a report “typically takes several days”. In practice, clear violations reported with the right reason are often handled within a few days, while borderline cases can sit in Decision pending for weeks. Appeals add more time, and Google gives no fixed deadline for them.

The biggest delays come from reporting under the wrong reason, reporting without evidence, or giving up after the first rejection. For a breakdown by case type, read how long Google review removal takes.

Special Cases: Extortion, Defamation, Competitors and Ex-Staff

Someone is demanding money to remove reviews

Review extortion usually starts with a sudden wave of one- and two-star reviews, followed by a message offering to remove them for payment. Do not pay or reply. Screenshot every review and every demand, with dates and sender details, and submit Google’s negative review extortion report. This is a separate channel from normal reporting and is handled by a dedicated team. We explain the process in our Google review blackmail removal guide.

The review is false and damaging

If a review makes a false statement of fact, such as accusing you of a crime or fraud that never happened, it may be defamatory under the law where you operate. You can then ask Google to remove it through its legal removal request rather than the normal report. Opinions (“worst meal I’ve had”) are not defamatory; invented facts (“they stole my card details”) can be. See removing defamatory Google reviews and our legal Google review removal service.

A competitor left the review

Reviews from competitors break Google’s conflict-of-interest rule. Look for clues: the reviewer works at or owns a rival business, reviews only your competitors positively, or posts within hours of a dispute. Report under conflict of interest and keep the evidence for your appeal. More in how to remove competitor fake reviews.

A former employee left the review

Current and former employees cannot review the business they worked for, because it is a conflict of interest. Match the reviewer’s name or photo against your staff records, then report it under conflict of interest, noting the dates they worked for you.

What to Do When the Bad Review Is Genuine

Some bad reviews are real customers having a real bad day. Google will not remove those, and reporting them wastes your one appeal. Here is how to turn them in your favour:

  1. Reply within a day or two. Future customers read your reply as much as the review.
  2. Thank them, own what went wrong and keep it short. No arguing, no excuses, no customer details.
  3. Take it offline. Give a name and a direct phone number or email so you can fix the problem.
  4. Fix it, then invite an update. Once the issue is resolved, it is fine to ask if they would consider updating their review. It is not fine to offer anything in return.

✍️ Reply template you can adapt

“Hi [Name], thank you for telling us about this, and I’m sorry your visit didn’t go the way it should have. That isn’t the standard we hold ourselves to. I’d like to put it right personally. Please contact me on [phone/email] and mention this review. [Your name], [Role]”

How to Push Bad Reviews Down Your Profile

A review that can’t be removed can still lose its power. Google shows “Most relevant” reviews by default, and a steady flow of fresh, detailed, genuine reviews pushes older complaints out of view and lifts your average.

  • Ask every happy customer for a review at the right moment: after a successful job, a good visit or a delivered order.
  • Make it easy with your Business Profile review link or a QR code at the till, on receipts and in follow-up emails.
  • Ask everyone, not just the people you expect to be happy. Selectively asking only satisfied customers (“review gating”) breaks Google’s rules.
  • Reply to good reviews too. It shows the profile is active and cared for.

7 Mistakes That Keep Bad Reviews Online

  1. Reporting with the wrong reason. “Not helpful” or a random category gets a fast rejection.
  2. Using up your appeal with no evidence. You only get one per review.
  3. Replying angrily or naming the reviewer. It looks bad to customers and can make the review harder to remove.
  4. Paying a scammer. Extortionists come back for more. Use Google’s extortion form instead.
  5. Offering refunds or discounts to delete a review. Google treats incentives tied to removing a review as a policy breach.
  6. Posting fake positive reviews to balance it out. Google can remove them and restrict your profile.
  7. Waiting months. The longer a fake review stays, the more customers read it. Act the same week.

Frequently Asked Questions

Can I delete a bad review from my Google Business Profile myself?

No. Business owners cannot delete reviews. You can report a review that breaks Google’s policies, and Google removes it if its moderators agree. Only the person who wrote the review can delete it directly.

Will Google remove a negative review just because it is unfair?

No. Google does not judge disputes between businesses and customers. A negative review is only removed if it breaks a specific policy, such as fake engagement, conflict of interest, harassment, off-topic content or personal information.

How many times can I appeal a Google review decision?

Google gives you one appeal per reported review through the Reviews Management Tool, and you can include up to 10 eligible reviews in a single appeal. Make it specific and back it with evidence.

How long does Google take to remove a reported review?

Google says reviewing a report typically takes several days. Clear violations reported under the right reason are often handled within days, while unclear cases and appeals can take several weeks.

Can I remove a Google review from a former employee or competitor?

Yes. Reviews from current or former employees and from competitors break Google’s conflict-of-interest rule. Report the review under that reason and keep evidence that links the reviewer to your business or a rival.

What should I do if someone threatens bad reviews unless I pay?

Do not pay or reply. Save screenshots of the reviews and the demands, then submit Google’s negative review extortion report form, which goes to a dedicated team separate from normal review reports.

Can I ask a customer to remove or change their bad review?

Yes, you can ask politely once you have resolved their complaint. You must not offer refunds, discounts, gifts or anything else in return, because incentives tied to changing or removing a review break Google’s rules.

Does replying to a fake review stop Google from removing it?

No. A reply does not stop Google from removing a review that breaks its rules. If you reply while a report is pending, keep it short, calm and factual, and never share customer details.
